Separate customer projects from stock
A distributor serving Côte d’Ivoire may be buying for several farms and for its own stock. Keep these quantities separate. For each customer project, identify the bird type, house drawing and required equipment. For stock items, provide part descriptions and compatibility information. A mixed order should not turn into a collection of components that cannot be matched to a specific system.
Request project-labelled packing
Ask whether cartons, bundles and pallets can be identified by customer project and assembly sequence. Request a packing list that can be reconciled with the quotation. Before shipment, establish who checks quantities, who accepts visible transport damage and where each project’s material will be stored while awaiting installation.
Define distributor support
Describe the distributor’s technical capability and the support it needs for selection, installation and spare parts. Request an explicit list of supplied drawings and manuals. Do not promise customers a local service arrangement until the responsible team, coverage and response process have been agreed.
