What should a poultry equipment quotation include?

A useful quotation identifies the proposed equipment, its documented specifications, the building assumptions and the responsibilities of both parties. Ask for separate scope lines for feeding, drinking, egg handling where applicable, manure removal and climate support. Price comparisons are unreliable when one offer covers only equipment rows and another includes controls, conveyors and installation assistance.

Give every supplier the same project brief

Start with the flock type, intended capacity, housing approach and a dimensioned building drawing. Mark columns, doors, service aisles and utility locations. Explain whether the project is a new building or a retrofit. Include the destination, preferred delivery point and project sequence. Ask the supplier to list missing information and assumptions in writing before preparing a final layout.

Separate equipment from site responsibilities

Check who provides electrical cabling, water treatment, foundations, external feed storage and connections outside the house. Identify the included control panels, sensors and alarms. Ask whether unloading, assembly tools, lifting equipment and on-site supervision are included. Record the boundary between the equipment supplier and the local installer; a verbal understanding is difficult to compare later.

Compare packing, delivery and handover

Request the proposed packing method, package quantities and shipping dimensions when available. Ask which delivery term and named place the offer uses. Review the installation sequence, operator documentation and commissioning checks. Clarify how shortages or transport damage should be reported. Ask for the spare-parts schedule and the written support arrangements for the actual configuration.

Use a comparison sheet, not just a total price

Put each supplier in a separate column and each requirement in a separate row. Mark items as included, excluded or awaiting clarification. Record the quotation date and revision so that later changes do not get mixed with an earlier offer. Ask for revised totals only after the scope is aligned. Destination documentation and any export restrictions must be reviewed before a commercial commitment.
